What are credits?
Credits act as a form of currency for your guest to use at a later date. You have the option to refund an amount as credit, as well as add a credit amount directly to a customer profile.
These are available for your customers for you to issue a credit to, this function is not available for you to issue credits to renters booking from Outdoorsy.com
How are credits used?
In the event that a customer has credit attached to their profile, the credit will automatically be consumed at the time that the booking is confirmed.
Example: I refunded reservation #1 for guest Michael, I refunded him $200 as credit. This means Michael will get no refund on to his credit card, but Wheelbase will now store $200 on his customer profile. Michael can now navigate to my website to book at a later date, and as long as Michael uses the same email he previously used, he will see that the credit is automatically being shown on the quote, and will only ask him to pay for the difference of whatever the new booking total is.
You have the ability to create the booking directly from Wheelbase, which will automatically consume the credit once the booking is confirmed (paid for).
Using the credit on the future booking
Credits are on a customers profile will apply themselves to the next new reservation for that customer.
The system will use any available credit first, before charging a credit card at 2 points.
Booking Confirmation: When the booking is confirmed (the reservation is booked). The system will use any credit available first before charging a card for the reservation deposit amount you usually collect to reserve dates and book a vehicle.
Scheduled Remainder Charge: When the Wheelbase system automatically collects the remaining balance due on a reservation, it will consume any available credits on the customer's account before charging anything that's left on the scheduled credit card.
Can I set an expiration date for credit?
Yes, you can do this from the customer profile. You can track existing credit on the "credit report"
How do I refund as Credit?
When selecting a refund, you will see a box for refund as credit.
Once the refund is complete, it will store that credit amount on the customer profile. It will NOT refund any amount back to the credit card. If you need to refund an existing amount to a credit card, please navigate to the transactions tab on that reservation page and issue a refund as normal.
I have existing credit I'd like to add to a customer, how do I do that?
Navigate to the customer profile
Select add credit on the right hand side
How can I delete a credit from the customer profile?
If you need to remove an already added credit from your customers profile, you can do this by starting from the customers profile.
On the right hand site you will see the credit listed
select edit credit
select remove credit
Please NOTE: Once the credit got removed it cannot be undone
In your credit reports history you will see manually removed credits as "Adjustment for previous credit of $XXX."
