Introduction
Email Notifications are automated emails that are sent to your customers when a specific trigger event occurs.
To access your Email Notifications and edit options:
- Select Email Notifications in your Account settings
- Select Edit next to the email you would like to customize
- or go to an email section and select the green New Email button to start with a new email
Set up your email notifications
Edit your Header Logo
This image is used as your logo in emails. We recommend a file size of at most 500x100.
Create New Email Notification
Clicking the "New Email" button at the top of any section will create and open a new email for that section. Once you've done that, you can edit all the details of your email notification!
Email triggers
Abandoned Checkout
These are triggered by the guest, leaving the checkout flow without submitting payment and completing the reservation.
Reservation Submitted
These are triggered when the guest submits a reservation request successfully. They are now waiting for you to confirm the request.
Note: This will only be triggered for dates that 'Instant Book' does not apply as per your settings.
Reservation complete
Reservation Complete emails are triggered by the confirmation of a reservation request or successful Instant Book reservation.
Trip begins
Trip Begins emails are sent before a reservation is scheduled to begin.
You can set negative delivery values for this one, in order to deliver the email prior to the beginning of the reservation departure day.
Trip ends
These are sent before or after a reservation is scheduled to end. You can set negative delivery values for this one, in order to deliver the email prior to the end of the reservation (i.e. -24 hrs).
By default, this template is set to deliver after the end of the trip, with a request to leave a review
- Be sure to Check-In your reservation on time so emails in this section send out correctly.
The renter will not be able to review the booking if you do not return the booking in your Wheelbase dashboard
Editing an email
When editing an email, you have the ability to modify each individual field.
Note: Any changes made to email notifications will only apply to newly created reservations, not existing ones.
Email Name
This information is internal. Your customers will never see it! Name your email whatever works best for you.
Delivery time
This value will determine how long after the trigger event the email is delivered to the renter. This function uses UTC time, so 00:00 = -5:00 UTC
Merge Tags
All merge tags (highlighted in red) will populate when the email is sent in connection with a reservation and based on your vehicle and document settings.
Translation Language
This function will allow you to send the email out in multiple languages, if you plan on working with renters that speak a language other than English.
Note: you will need to translate your email body and subject line into the language you select, the system will not automatically translate this for you.
Subject Line
This is where you will create the subject line for the email you are working on. This field supports Merge Tags, which are listed on the right-hand side of the page.
Pro Tip: Customize the subject line to catch the attention of your guest!
Email Body and Footer
Within these fields, you write the message and closing that will be sent out to the renter. Both of these fields support Merge Tags and HTML code.
Send Test
Using this function will send a test copy of the email you are working on to the address you enter into the field. Please keep in mind that the email source will come from Outdoorsy for the test emails.
If you are using merge tags, these will be visible but will have no actual data.
Additionally, you have the ability to temporarily disable the email you are editing by clicking the "Disable this email" check-box.
